Turnaround Software Cost: Pricing Drivers and Total Cost

Short answer

Turnaround software cost depends on the pricing model, users, sites, modules, integration and implementation, so compare options on total cost over several years. Add one-time costs to yearly costs times the years of use, and ask for every line in writing. Book a MaintWiz demo and ask for a written quote.

How MaintWiz helps: MaintWiz is offered on a subscription basis, so you pay as you grow. Implementation fees are fixed and pricing is transparent, so you know your costs before you start. It is a comprehensive solution at a competitive cost. See the module · Get the total cost worksheet

Definition

How much does turnaround software cost?

Turnaround software cost depends on the pricing model, the number of users and sites, the modules you switch on, and above all on implementation and integration, so compare options on total cost over several years rather than on the license line.

It shows what drives the price, which lines are often missing from a quote and how to total them. Cost estimating practice for projects asks for the basis of every number; the same discipline applies to a software quote. 1

Models

What pricing models do turnaround software vendors use?

Vendors usually charge per user, per site, per module, per project, as a one-time license with yearly support, or as a subscription, and each model hides a different risk: who counts as a user, what the cap is, which modules cost extra and what happens at renewal.

MaintWiz

How do you get a MaintWiz quote?

Book a MaintWiz demo and ask for a written quote that lists every cost line for your users, sites and modules; AI agents support shutdown planning.

Bring your user count and the number of stops a year. We will run the demo on your task list so you can judge the value alongside the cost.

What the shutdown module covers

  • Gantt chart with critical path, float and baselines
  • Readiness gates configured to your requirements, with signed waivers
  • Spares status with the SAP request or order behind each short part
  • Earned value, cost and schedule indices
  • Budget, actual and forecast cost in one view
  • Handover notes, deferred items and lessons learnt

Drivers

What drives the cost of turnaround software?

The main cost drivers are the number and type of users, the number of sites and concurrent shutdowns, the modules, the integration with your ERP or CMMS, hosting and security needs, the support level and the contract term.

What drives the price
DriverWhy it matters
Number and type of usersPlanners, supervisors, technicians, contractors and executives may be priced differently
Number of sites and concurrent stopsMore sites and stops mean more licenses or a higher tier
Modules and featuresScope, schedule, readiness, permits, spares, cost, mobile, AI features
IntegrationERP, CMMS, permit system, sign-in; standard or custom
Hosting and securityCloud or your servers; audit and access requirements
Support levelHours, response targets and a named lead
Contract termLonger terms may lower the yearly fee but raise exit cost

Hidden costs

What costs are often missing from a software quote?

Quotes often leave out implementation and setup, integration, data migration, training, extra modules and users, support and upgrades, and hosting, so ask for every line in writing and total them over the years you will use the tool.

Stacked bars of an illustrative three-year cost of turnaround software including implementation, integration and training
Illustrative three-year cost. Three stacked bars for After year 1, After year 2 and After year 3 total 83, 116 and 149 cost units. A legend splits one-time items, such as implementation and training, from yearly items such as licence, extra modules, support and hosting.

The one-time block stays the same height while the yearly block grows, so the total depends on how many years you keep the system. Take each legend line in turn and ask the vendor to price it in writing, so the quote covers more than the licence.

Total cost

How do you calculate the total cost of turnaround software?

Add the one-time costs to the yearly costs multiplied by the years of use, and divide by the years to get an average yearly cost for each option, then compare options on that figure alongside what each delivers.

Total cost

One-time + (yearly × years)

Use the same years for every option.

Average cost per year

Total cost ÷ years

The figure to compare across options.

Cost per shutdown

Quote

What should you ask for in a software quote?

Ask for a written quote that lists every one-time and yearly line, the user and site definitions, what each module includes, the implementation scope and days, the integration scope, support terms, price protection at renewal and the exit terms.

  • Every line, one-time and yearly
  • Definition of a user and a site
  • What each module includes
  • Implementation scope and days
  • Integration scope in writing
  • Support hours and response targets
  • Price protection at renewal
  • Exit terms and data return

FAQ

Frequently asked questions

How much does turnaround software cost?

It depends on users, sites, modules, integration and implementation. Compare total cost over several years, not the license line.

How is turnaround software priced?

Per user, per site, per module, per project, as a one-time license with support, or as a subscription.

What costs are often missing from a quote?

Implementation, integration, data migration, training, extra modules and users, support, upgrades and hosting.

How do we compare two quotes?

Put every line in the same worksheet, add one-time and yearly costs over the same years and compare the average yearly cost with what each delivers.

Is a cheaper license always cheaper overall?

No. A low license can come with a large implementation or integration cost.

Is there a free total cost worksheet?

Yes. The total cost worksheet (Excel) has twelve cost lines for up to three options.

How do we judge the return?

Compare cost with the savings you can measure on your own stops. See shutdown program ROI.

Should we negotiate price protection?

Yes. Ask for fixed prices for extra users, sites and modules and a cap on renewal increases.

Does MaintWiz publish prices?

Book a demo and ask for a written quote for your users, sites and modules. AI agents are part of the module. See AI shutdown planning.
